General Information

What is the Lookeen Server?
Lookeen Server centralizes the knowledge of all the computers in your corporate network in a single search index. All employees may then – depending on your privileges – with the use of Lookeen Client, look at the search index for relevant data. The Lookeen Server indexes: e-mail, documents, appointments, tasks, images, PDF files, and more.

What is the Lookeen Client?
The Lookeen Client is installed locally on all computers in your company and allows every employee to locate information across the company-wide search index. This can prevent documents being duplicated or protect against data loss.

What is Enterprise Search?
Enterprise Search is a branch of information retrieval and is the process of a computer-based, content-based search within a company. By establishing a centralized search index on a shared server, Enterprise Search helps to bring more transparency in the data in your corporate network and support your staff in finding information.

Does the Lookeen Server support multi processes?
Yes. The Lookeen Server is able to be scaled up or down depending on the needs of the admin or infrastructure limits. Regardless of the number of processes you would like to use, you can set Lookeen’s indexing speed to reach optimal performance

Why is the traditional way of searching with the Outlook Search not sufficient?
The traditional search functions of Outlook® are highly overburdened. Furthermore you lose time and hardly – or only with great effort – achieve a useful result. The average user has more than one folder in Outlook ie. Public Folders and an archive. The Outlook search tool can only search one folder at a time, but most users want a tool that can seaarch all folders at once. Lookeen provides that ability.

Why do I need the Lookeen Server?
Traditional search operations of Outlook® are highly overburdened. Lookeen® reduces the required time for organizing and filing of Outlook® items! You can find correspondence with people and groups on a single click! And the biggest advantage: Lightning fast search for e-mail in all stores.

What is the Lookeen® Client for Microsoft® Outlook® 2003, 2007, 2010, 2013, 2016, 2019, 2021 and Office 365?
The Lookeen® Client is a fully integrated add-in of Outlook® and a professional solution for Outlook® users with a high volume of e-mail in their inbox. The Lookeen® Client can improve your e-mail productivity with its lightning fast search for e-mail in all stores. On demand you will gain an overview of your communication, contacts, attachments and dates. You will save time and, most importantly, money, as engaging in time-consuming searches becomes a ghost of the past.

Do you provide product support for Lookeen?
Yes, our team is available per email 24 hours a day via the support form. In most cases it is useful for our support team, if you send us an actual logfile of your Lookeen system. To do so, go to your Lookeen Toolbar to “Help”->”Send report…” and explain your problem as detailed as possible. Screenshots are also helpful to find the cause of your problem. Please do not forget to describe how your problem can be reproduced.

What is an Index file?
An index file is a table of contents that allows the accelerated search for information.

Do features and design of Outlook® change when using Lookeen?
No, all Outlook® functions will of course be saved. Nevertheless, you will experience Outlook® in a totally new way! The Lookeen® toolbar will appear below the Outlook® search toolbar.

We would like to set up the Lookeen Server for a range of clients within our company. Is there a possibility to configure it with group policies?
Of course system administrators can provide Lookeen companywide with GPO´s. Therefore we have our own GPO´s which we gladly provide for you. The Lookeen Client and the Lookeen Server have different GPO’s which can be found in their respective GPO Guides. Additionally you can get an ADM-File from us, which you can easily adjust for your company.

How can I become a reseller of Lookeen or is there an affiliate program?
We would much appreciate it if you offer Lookeen to your customers too. To become a reseller or if you have questions about our partnerships, please refer to our reseller and affiliate pages.

What is Active Directory?
To regulate file sharing, Windows machines have their own authentication service, called Active Directory. This saves the user rights for every single employee or a specific group of employees. Active Directory ensures that each employee can only read what they should.

What is the Intranet?
The intranet is called an internal corporate network – a kind of web-site for your company. Through the intranet, you can exchange files between locally connected and the associated network PCs. The intranet is shielded from the outside world (the extranet) and can not be seen from the outside without proper permissions.

Do I need to use the Lookeen Client to access the Lookeen Server?
Yes, your employees’ access to the Lookeen Client is the gateway to the server search index. The Lookeen Client also presents the search results clearly in a results window.

Does the Lookeen Server work with Microsoft Exchange Server?
The Lookeen Server works with Microsoft Exchange Server 2007, 2010, 2013, 2016 and 2019.

With which operating systems does the Lookeen Server work?
The Lookeen Server works with Windows Server 2003, Windows Server 2008, Windows Server 2012, Windows Server 2016, Windows Server 2019.

With which operating systems does the Lookeen Client work?
The Lookeen Client works with Windows Vista, Windows 7, Windows 8 and Windows 10.

Which versions of Outlook work with the Lookeen Client?
The Lookeen Client works with Outlook 2003, 2007, 2010, 2013, 2016, 2019, 2021 and Office 365.

Do I need to have Outlook to use Lookeen Client?
Yes, the Lookeen Client is only available as an add-on for Outlook.

Does the Lookeen Server work with Citrix Systems ® and Terminal Servers?
Yes, the Lookeen Server works even if your company uses Citrix and Terminal Server systems.

Does the Lookeen Server index only Exchange Server mailboxes and Public Folders, or also network files?
The Lookeen Server indexes all files – both network files as well as Exchange mailboxes and Public folders.

When I use Lookeen® with Exchange, does Lookeen® also work with IMAP?
Yes, it does. The Lookeen Client and the Lookeen Server are both compatible.

When I use Lookeen® with Exchange, does Lookeen® also search public folders?
Yes, Lookeen searches public folders as well.

I use Microsoft Windows Server 2003. Is there anything to take into consideration?
Under Microsoft Windows Server 2003 you will need the C++ 2005 SP1 Redistributable Package. You can find the download here.

Do I need .NET and what is that? Where can I download it?
Yes, .Net 3.5 or higher and also the Service Pack 1 for .Net 3.5. Microsoft must be installed on your PC. Net framework is a technology to make software work on Microsoft systems. In most cases .Net 3.5 is already installed on PCs. If it is not, you can find the Service Pack 1 for .Net 3.5 here.

Does Lookeen Server and Lookeen Client work with Lotus Notes?
Not yet, the implementation of the Lotus Notes API is currently under consideration.

Does Lookeen Server and Lookeen Client work on a Mac OSX Server?
Not yet, the integration of the Lookeen Server for Mac OS X is currently under consideration.

Is there a way to have the Lookeen search box visible, even when I’m not in the Lookeen Outlook tab?
The Lookeen toolbar is your gateway to a fast Outlook e-mail search. Lookeen is automatically displayed in the toolbars of Outlook 2003, 2007, 2010, 2013, 2016, 2019, 2021 and Office 365. Just enter a search phrase and press the Enter key. Lookeen stores all your previous searches. You can see them with one click on View. By default, Lookeen for Outlook 2010 is displayed in its own “Lookeen” tab. You can also embed Lookeen, so that you are able to start a Lookeen search from anywhere, no matter where you are currently located in Outlook. There are two ways to do this: 1. By right-clicking on the Lookeen icon in the system tray (usually the bottom right next to the time) you have the ability to start the search window, access the options menu or input search terms directly into the search box to start a Lookeen search. This works even if you have Outlook minimized. 2. You can add Lookeen permanently as a shortcut to your Outlook toolbar. Then you can start a Lookeen search from anywhere in Outlook, without having to switch to the Lookeen Outlook rider: a. right-click on the toolbar below the Outlook tab b. Click “Customize Quick Access Toolbar …” c. Select “Choose commands from” and select “Lookeen registration card”. d You can use the button “add”, to add Lookeen search shortcut buttons to your toolbar.

Technical Details

What resources does the Lookeen Server use?
The Lookeen Server requires no special hardware and runs on any standard server with a Windows Server Operating System (Windows Server 2003, Windows Server 2008 and Windows Server 2012).

What can the Lookeen Server search?
The list of file types constantly expanding. So far, you can use the Lookeen Server as Windows Search alternative to search: emails, attachments, contacts, appointments, notes, tasks, journal, all current Microsoft Office file types, pictures, as well as web file formats (ie. html, xml and many more) can be indexed.

How are user rights secured? Lookeen Server uses the Windows Active Directory authentication. The permission structure is embedded in the index, with both the query and the result output adjusted to the authorization of the user to view such content.

I would like to install Lookeen on a Terminal Server. Do I need a license for each installation or does this depend on the amount of users?
Lookeen’s license model is a so called named-user-model. This means that you need a license for every employee who works with Lookeen on the Terminal Server. After that, the license holder is free to use Lookeen on any system that they wish, without extra charge.

What influence does the Lookeen Server have on my network performance?
The Lookeen Server uses minimal resources and protects your capabilities.

Can the Lookeen Server search Public Folders?
Yes, the Lookeen Server can also search Public Folders.

How large can the index be?
Lookeen doesn’t have a indexed element limit. (i.e number of indexed files or a GB limit) The price is always the same.

Is there a possibility to index picture files?
Yes. Picture files (e.g. .jpg or .bmp, and more) are indexed by their names. Those can be previewed in the Lookeen preview window.

We work with an Exchange Server. Which mode of Exchange Server will be supported?
Lookeen supports all operating modes (cached and un-cached) and all network states of the Exchange Server. Furthermore we deliver all GPO´s if requested, so you can configure the settings for each mode. You can find more information in our GPO-Guide.

Is there a maximum archive size for Lookeen’s indexing?
The Lookeen Client is designed for indexes up to 100GB. The Lookeen Server is suitable for indexes larger than 100GB.

In our company we use “roaming user profiles”. Is this supported by Lookeen?
Lookeen supports “roaming user profiles”. Therefore you have to take some specific settings in your registry. If you have further questions or if you need help with you configuration, just email us at sales@lookeen.com.

Where will the data which Lookeen® generates be stored?
If you are using the Lookeen Client, it will be put into the local application register. If you are using a client that’s tied to a Lookeen Server, data won’t be stored as local data, but on the network. The exact location can be dictated by the IT Administrator.

Does Lookeen® backup all of my data to another location?
No. Lookeen does not copy emails nor does it upload them to an internet storage or backup server. It createss an encrypted index with a searchable directory.

Buying and installation

Where do I install the Lookeen Server? The Lookeen Server is centrally instaalled on a Windows computer with Windows Server 2003, Windows Server 2008, Windows Server 2012 or Windows Server 2016.

Do I need to install Outlook on the Lookeen Server?
No, the Lookeen Server is installed, completely independent of Outlook, on a computer with Windows Server 2003, Windows Server 2008, Windows Server 2012 or Windows Server 2016.

How do I find out which version of Lookeen® I have?
In the Lookeen Client ® toolbar you will find a “Help” entry in the menu. Click on “About”. The Lookeen® version number will then appear in the window. For the Lookeen Server ®, go to the Lookeen Server Management Console, where you’ll see it in the lower right corner.

How much does Lookeen® cost and how long will I be allowed to use it?

Can I buy the Lookeen Client® and the Lookeen Server® in any shop?
No, Lookeen® is currently only available online as download.

No, you can also install the EXE following the instructions for unattended or silent installation. For further assisstance, contact our Lookeen Server Team.

Can I create a logfile while installing to see if Lookeen has been installed correctly?
Yes. You can do that using the parameters for unattended or silent installation. For further assisstance, contact our Lookeen Server Team.

How do I know if I have installed Lookeen® correctly?
After installing Lookeen® and starting Outlook®, a setup program of Lookeen® will open automatically. After the setup has been completed, you can use all the features of the Lookeen® toolbar located in the Outlook® menu.

When I embed the ADM-file, the according entries are not added to the group policy editor. Why?
Go in your Group Policy Editor with a right-click on “Administrative Templates” and choose “Filtering…”. Deactivate in the following dialog “Only show policy settings that can be fully managed”. Now you should see the entries. Also view our GPO-Guide for more information.

How can I completely uninstall Lookeen®?
Windows Vista, 7 & 8:

  • 1. Close Outlook® and Lookeen and uninstall Lookeen in your Control Panel –> Options –>Programs and functions.
  • 2. Delete the folder “Lookeen” in C:Users[Your username]AppDataLocal
  • 3. In C:Progam Files (on 32 bit systems) or C:Program Files(x86) (on 64 bit systems) -> delete the folder “Axonic” (If you set a different installation path, you will find the folder “Axonic” there).
  • 4. Go to your folder “My Documents” and delete the folder “Addin Express” (if there is such a folder).

Can each of my employees set up the Lookeen Server?
No, the Lookeen Server is easy to setup centrally by your IT administrator and employees can access the server data through their Lookeen Client.
